How to Manage Several Instagram Accounts for a Brand, Team or Clients Without Sharing Passwords

By ADSSPEED Team · Published · Updated · 6 min read

How do you manage several Instagram accounts for a brand or clients the official way?

Without sharing passwords. Instagram's Help Center lists three ways to give someone permissions on a business account (roles on the connected Facebook Page, people in Business Manager and people on the ad account), and it offers shared access for eligible accounts. Meta Business Suite is Meta's tool for running Facebook and Instagram business activity in one place. Each person keeps their own login.

The Terms of Use list soliciting, collecting or using other users' login credentials among the things you can't do, which is why a shared password is the wrong tool for client work.

The official ways to give people access

RouteWhat it givesLimits and notes
Shared access (Instagram)Invited people can post, like and comment, and from a professional account run ads and view insights, all without your password. You choose whether they get inbox and story access, and you can see their actionsOnly for eligible accounts, not for teens, and not available to everyone. Invitations last seven days. The Help Center ties the number of people you can invite to a Meta One plan. You can revoke access at any time
Roles on the connected PagePermission to post or boost for the businessApplies if you own the Page connected to the business's Instagram account
People in Business ManagerRoles assigned in Business ManagerApplies if Business Manager already manages the Page's roles
People on the ad accountAd permissions, such as boostingDoes not let them log in as you or see what you have not shared

Instagram's Help Center page still says Business Manager, while Meta's Business Help Center uses the name business portfolio in its article titles, such as Add an Instagram account to your business portfolio and Remove partners from your business portfolio. Read those articles for the current permission levels, because this guide does not restate them (titles read 3 October 2026).

Professional accounts and Meta Business Suite

  • Account types. Business accounts suit retailers, local businesses, brands, organisations and service providers, and Creator accounts suit public figures, content producers, artists and influencers. Both are professional account types.
  • Switching on a computer. Click More, then Settings. Under For professionals, choose Account type and tools, then Switch to professional account, pick Creator or Business, and follow the prompts. You can switch back to a personal account at any time, but you lose access to ads and may lose some tools. A private account becomes public when you switch.
  • Meta Business Suite. Meta describes it as one place to manage marketing and advertising on Facebook and Instagram, and its product page links to a guide called Manage multiple Facebook Pages and Instagram accounts in Meta Business Suite.
  • Account Status. For professional accounts, More, then Settings, then Account Status lists removed content and features you can't use, and offers a review request. Owners should check it from time to time.

Keep client accounts out of your own Accounts Center

Instagram's Help Center says every account in the same Accounts Center can be used to log in to the others by default, and Meta says it combines your info across accounts in one Accounts Center, for ads, content suggestions and matching some settings. For an agency, that is a reason to keep client accounts out of your own Accounts Center.

  • If you use an existing account to create a new Instagram account, the Help Center says both go into the same Accounts Center.
  • You can add or remove accounts in an Accounts Center at any time in Settings. Meta says it stops combining info within 7 days of removal, but anything already combined stays combined.

Security basics for a team

  • One person, one login. Shared access and business roles exist so that each person signs in as themselves.
  • Two-factor authentication. Instagram's security page calls it the most effective single step for protecting an account, and the two-factor page says it requires a code for a login attempt from a device Instagram does not recognise. The authentication-app method can only be turned on in the Instagram app for Android and iPhone, and one Meta Account can connect up to five devices to it. Keep the authentication app on a device the business controls.
  • Trusted devices. Do not tap Trust this device on a computer other people use.
  • Recovery details. Make sure the email address and phone number on the account are controlled by the business. Instagram's recovery tools send links and codes there.
  • Login list. The owner can review devices in Login activity and log out of any that should not be signed in.

Onboarding and off-boarding

Onboarding

  1. Confirm in writing who owns the account and who may grant access.
  2. The owner picks the route: shared access, or roles through the connected Page, Business Manager or the ad account.
  3. For shared access, the owner opens the profile in the Instagram app, taps Menu, then Shared access, then Invite people. The person has seven days to accept.
  4. Set inbox and story access deliberately, because they are separate options.
  5. Record who has which access and when it was granted.

Off-boarding

  1. Remove the person's access. The owner can manage and revoke shared access at any time, and an invited person can leave a shared account at any time.
  2. Remove any roles granted in the business tools.
  3. Open Login activity and log out of devices that should no longer be signed in.
  4. If a password was ever shared, change it. Once a password is updated, Instagram logs out all other devices.
  5. Before a hand-over, the owner can export the account's information: More, Settings, Accounts Center, Your information and permissions, then Export your information. Instagram says an export can take up to 30 days to reach you by email and is password-protected.
  6. Remove the account from your own Accounts Center if it was added, and delete browser profiles used only for that client. See the agency ownership guide for the same discipline applied to ad accounts.

If the option you need is missing

  • Shared access is not offered. It is only for eligible accounts, not for teens, and Instagram notes it may not be available to everyone. Use Page roles, Business Manager or the ad account instead.
  • There is no connected Page. The Page-roles route applies only to a Page connected to the business's Instagram account.
  • You were given a password. Ask the owner to change it and set up proper access. If a changed password has locked you out, read the sign-in checks guide.
  • A client offers to give you their login. Decline politely. Your access should come from the owner's invitation or roles.

Where ADSSPEED fits

For your own workspace, ADSSPEED gives each client's accounts a browser profile with its own cookies, local data and browser settings, so a team member opening Client B does not sign out Client A. A proxy can be set per profile and assigned to many profiles in bulk, and profiles can be opened, stopped and organised in bulk. It runs on Windows and macOS, and profile data stays on your computer. It does not replace Instagram's access tools: each person still signs in with their own account, using the access the owner has granted. ADSSPEED is not affiliated with Instagram.

Frequently asked questions

Can you have multiple users on a business Instagram account?

Yes, through Instagram's own tools. The Help Center lists three ways to give people permissions: roles on the connected Page, people in Business Manager, and people on the ad account. It also offers shared access for eligible accounts, so invited people can post, like and comment without your password.

How do I give someone access to my Instagram business account?

If shared access is available to your account, open your profile in the Instagram app, tap Menu, then Shared access, then Invite people. The person has seven days to accept. If it is not available, use Page roles, Business Manager or the ad account. Do not hand over the password.

Can I give someone limited access to my Instagram account?

With shared access you can control what an invited person can view or do, and see what actions they take. The Help Center describes separate options for inbox access and for adding to your story, and you can revoke access at any time.

Can you add multiple Instagram accounts to Meta Business Suite?

Meta describes Meta Business Suite as one place to manage business activity on Facebook, Messenger and Instagram, and its product page links to a guide called Manage multiple Facebook Pages and Instagram accounts in Meta Business Suite. Open that guide in Meta's Business Help Center for the current steps.

How many accounts can you manage on Instagram?

The Help Center's figure is ten accounts logged in at one time. The pages read for this guide do not state a cap on how many accounts a business can manage through roles or shared access, so check which options are offered to each account.
